Chargeback prevention

The bad document never leaves.

Every confirmation, shipment notice, and invoice is checked against the retailer’s own rules before it leaves. If a document wouldn’t pass, it doesn’t go — you see the exact problem and fix it now, instead of paying for it three weeks later as a deduction.

What actually prevents it

Stop it before it sends. Practice before it counts.

Not a dashboard that tells you about a deduction after it lands. A check that stops the bad document from leaving, and a practice run against the retailer’s real rules before you go live.

Bad documents can’t leave.

Every confirmation, shipment notice, and invoice runs through the retailer’s rules before it goes out — and there is no way around the check. If a document doesn’t pass, the send is blocked, not warned about. You see the exact line and the exact rule, and the retailer never sees the mistake.

Practice against the real rules.

Before you go live, our practice retailer sends you a real order over a real connection and checks your replies against that retailer’s actual rules — the same checks production runs. You find the mistakes in a dress rehearsal, not in your first week of live chargebacks.

Per-retailer playbook

What each retailer charges for. And how we stop it.

Walmart compliance program

OTIF (On-Time, In-Full)

Walmart scores every order on whether it arrived on time and in full. That part is trucking — no software prevents it. What we prevent is the paperwork penalty stacked on top of it: your confirmations, shipment notices, and invoices go out matching Walmart’s rules exactly, so a document deduction never lands on top of a delivery problem.

What they charge forHow we stop it

Shipment notice errors

Walmart checks every detail of the shipment notice — carton barcodes, order numbers, vendor IDs, shipping terms. We check all of it first. A shipment notice with a mistake in it simply will not send.

Order confirmation errors

Your confirmation has to answer the order exactly the way Walmart expects, line by line. We build it that way and check it before it goes out.

Invoice errors

Order numbers, vendor references, and charge codes are checked against Walmart’s own lists before the invoice goes out — so a formatting mistake is caught here, not deducted from your payment.

Missing receipts

Every file Walmart sends you gets an automatic receipt back within their deadline, and every file you send is matched to the receipt Walmart returns — so you always know a file landed.

Where the line is

We stop the paperwork penalties. Not the truck.

A lot of retailer deductions come from what physically happened in your warehouse and on the road. We stop the ones caused by the documents you send.

Late or short shipments

Whether the truck arrived on time and the order shipped in full is a trucking outcome. Your paperwork can be perfect and you can still get an on-time penalty if the freight ran late. We show you the deadline; we don’t move the freight.

What’s actually in the box

We check that the carton barcodes and contents in your shipment notice all agree with each other. But if what’s physically in the box doesn’t match what the label says, that’s a warehouse mistake no software can see.

Penalties based on your track record

Some penalties depend on your history with a retailer — repeat mistakes, totals over a season. Those build up across your account over time. What we control is each document: every one goes out clean, so none of them add to that record.

Verified, not guessed

Every rule comes from the retailer’s own published spec.

We read each retailer’s EDI guidelines — the envelope conventions, the code lists, the carton and label rules — and turn them into the checks themselves. The same checks that run in production are the ones your practice run is scored against, so what you rehearse is exactly what you go live with.

Block it before it ships

Catch the mistake before it costs you.

Practice against the retailer’s real rules, then let the same checks stand in front of every document you send. Public pricing, self-serve sign-up, no demo required.
